Job Posts

Main information about the job posts registered in the system is stored in the Job Post (hrm_job_post) table inherited from the HRM Task (hrm_task) table. The HRM Task table is a parent table for all ticket and task tables of the HRMS application which, in its turn, is based on the Task table of the platform.

A job post provides a job description, information on requirements, and remuneration. You can publish a job post on a recruitment platform.

Roles required:

  • Read, create, update – hrm_supervisor, hrm_agent.
  • Delete – hrm_supervisor, hrm_agent if the job post is in the New state.

Create a job post


To create a job post, complete the following steps:

  1. Navigate to Human Resource ManagementRecruitmentJob Posts.
  2. Click New in the upper-left corner and fill in the form fields.
  3. Click Save or Save and exit to apply the changes.

Job Post form fields

The form is divided into two tabs:

  • General – contains information for internal use.
  • Publication Information – contains information sent to the third party for the job post publication on a recruitment platform.

Hiring managerNThe field is completed automatically with the manager of the organizational unit to which the position slots added to the job post are related. You can edit the value.
Assignment groupYThe field is completed automatically with the group responsible for recruitment.
Assigned userNSpecify an employee responsible for this job post.
Number of employees to be recruitedNThe field is completed automatically with the number of related position slots.
Number of recruited employeesNThe field is completed automatically with the number of closed applicant submissions.
Minimum payrollNThe field is completed automatically with the minimum gross salary from the related position slots.
Maximum payrollNThe field is completed automatically with the maximum gross salary from the related position slots.
SpecializationYSpecify an area of expertise for the applicant.
CityYSpecify a city where the staff is recruited.
Work experienceYSelect one or more options for the required work experience. Available options:
  • No experience
  • 1-3 years
  • 3-6 years
  • More than 6 years
Contract typeYSelect one or more contract types. Available options:
  • Independent contractor agreement
  • Open-ended employment contract
  • Fixed-term employment contract
Employment typeYSelect one or more employment types. Available options:
  • Full employment
  • Part-time employment
  • Project or one-time task
  • Rotation
The Rotation employment type is unavailable if the the Internship checkbox is selected.
InternshipNSelect the checkbox if the job is intended for an internship. The field is active if the selected employment type is Full employment, Part-time employment, or Project or one-time task.
Evening or night shiftsNSelect the checkbox if the job requires evening or night shifts.
Full-time equivalent (%)NThe field is completed automatically with 100% and hidden from the form if full-time employment is seleted in the Employment type field. If another option is selected, specify the full-time employment equivalent in percentage.
Days per rotationY/NSpecify one or more shift duration options in days. The field is displayed and mandatory if the Rotation employment type is selected.
Work formatNSpecify one or more work formats. Available options:
  • Travel
  • Hybrid
  • Remotely
  • At the employer's location
If the Rotation employment type is selected, only the Travel and At the employer's location options are available.
Equipment allocation requiredNSelect the checkbox if the company provides equipment required for work on this position to the new employees.
  • Position Slots – the list contains the position slots related to the job post.
  • Applicant Submissions – the list contains applicant submission tasks that include the job post.
  • Job Publications – the list contains published job posts.
  • Onboarding Requests – the list contains onboarding requests created for the related position slots.
  • Approvals – the list shows approvers and their resolution. By default, the user specified in the Manager field of a recruitment request becomes an approver.

Job post control


You can control a job post using the buttons on its form. To do so, navigate to Human Resource ManagementRecruitmentJob Posts and open the form of the required record.

Add position slotClick to connect existing position slots in the Available state to the current vacancy. The button is displayed on the Job post form of all states except Completed and Closed.

Send for approvalClick to send a New job post for approval to the hiring manager. If the assigned user is the hiring manager, the approval is not required. If there is no hiring manager in the system, specify the approver manually. The task moves into the Pending approval state.hrm_agent

Publish a job post


Before publishing a job post, ensure it is related to an Applicant Submission task. Otherwise, the job post will remain in the New state.

To publish a job post, complete the following steps:

  1. Navigate to Human Resource ManagementRecruitmentJob Posts and open the record of the job post you want to publish.
  2. Click Send for approval. The approvers are then notified that it is necessary to approve or reject the job post description. The job post state changes from New to Pending approval. While approvers review the job post, it remains uneditable. See the My approvals article to find out more about processing approvals in the service portal.
  3. When the job post state changes to Approved, the Publish button appears. Click it to send the job post to the recruitment platform. Fill in the required fields in the modal window that opens and click Publish to confirm your action. The job post state changes to Published. The system then creates a Job Publication record in the Published state. Read more in the Job Publication article.
  4. (optional) Click Edit. Note that if edited, the job post needs to be approved again. Click Edit in the modal window to confirm your action. The job post state changes to New and the job post record becomes editable. The job publication state changes to Update required.
